Role Responsibilities Stakeholder Consultation and Deployment Planning • Act as a trusted deployment advisor to project leads, instructional designers, subject matter experts, technology teams, and learning stakeholders. • Lead discovery and consultation meetings to understand learning solution requirements, timelines, dependencies, approvals, risks, and success measures. • Review content release intake information to ensure requirements are complete and accurate before deployment. • Translate learning and business requirements into practical deployment plans and actions. • Identify incomplete, unclear, or conflicting requirements and work constructively with stakeholders to resolve them. • Apply professional judgment when recommending practical solutions, options, and trade-offs. • Document decisions, actions, and follow-ups and communicate progress clearly and efficiently. Learning Content Deployment and Release Management • Manage the end-to-end deployment lifecycle, including intake, readiness review, configuration, testing, approval, publication, and closure. • Deploy or coordinate digital learning content across multiple technology environments, including LMS platforms, media solutions, SharePoint or other content portals, and collaboration tools. • Configure learning objects, curricula or pathways, media assets, pages, links, permissions, metadata, audiences, dates, and completion requirements, as applicable. • Coordinate source files, translations, accessibility requirements, assessments, evaluations, and supporting resources in preparation for release. • Perform pre-release and post-release quality validation. • Troubleshoot and resolve deployment issues within the scope of the role and escalate technical issues when appropriate. • Maintain accurate and auditable records of deployment decisions, approvals, testing, and completion. Virtual Classroom and Learning Event Administration • Create and administer virtual classroom sessions using approved enterprise platforms. • Configure facilitator and producer access, participant settings, invitations, engagement features, and supporting learning materials. • Partner with facilitators and producers to confirm session readiness and support rehearsals where required. • Support polls, quizzes, knowledge checks, attendance tracking, and participant engagement activities. • Extract and reconcile attendance and interaction data and prepare completion information for downstream processing when automated integration is unavailable. • Troubleshoot virtual learning issues and coordinate escalation to technical support where necessary. Surveys, Evaluation and Reporting • Create and validate survey and evaluation links based on the intended audience, learning modality, and measurement requirements. • Run recurring and ad hoc reports across learning, media, survey, content, and collaboration platforms. • Review data for completeness and accuracy, investigate discrepancies, and clearly document limitations. • Consolidate information from multiple sources using approved and repeatable processes. • Prepare clear reporting outputs and summaries for stakeholders. • Maintain reporting schedules, templates, and instructions to support consistency and self-service. Quality, Governance and Documentation • Apply established requirements relating to naming conventions, metadata, version control, accessibility, privacy, security, records management, and release readiness. • Complete quality assurance checks and maintain supporting evidence. • Monitor shared intake channels and deployment mailboxes, triage requests, assign ownership, and support timely responses. • Escalate quality, security, privacy, accessibility, or operational risks appropriately. • Maintain deployment guides, job aids, FAQs, templates, knowledge repositories, and onboarding materials. • Contribute to testing, release readiness, issue investigation, and operational acceptance of new or enhanced learning technologies. • Identify recurring issues and contribute to improvements in processes, controls, guidance, and stakeholder education. Continuous Improvement and AI Enablement • Use Microsoft 365 Copilot and approved AI or automation tools to improve efficiency and consistency while maintaining accountability for accuracy, confidentiality, quality, and final decisions. • Use AI-assisted tools, where appropriate, to support meeting preparation, consultation summaries, meeting notes, action items, status updates, document reviews, and reporting. • Use approved AI tools to help identify missing or inconsistent information and support quality reviews. • Support the organization and reconciliation of reporting data while ensuring appropriate human review. • Use approved source materials to support the development or updating of job aids, FAQs, and process documentation. • Identify repetitive tasks that may benefit from AI or automation and contribute to testing and documenting safe, repeatable improvements. • Ensure all AI-assisted outputs are appropriately reviewed and validated before use. Team Leadership and Ways of Working • Lead deployment meetings, stakeholder consultations, readiness reviews, and retrospectives. • Establish clear agendas, decisions, owners, actions, and follow-ups. • Take initiative, anticipate requirements, and work across platform boundaries to resolve learner and stakeholder issues. • Contribute to capacity planning and priority discussions, raising constraints and risks early and recommending solutions. • Collaborate effectively across functions, platforms, and time zones. • Contribute to an inclusive, collaborative, and learning-focused team environment through knowledge sharing and constructive feedback. Required Education and Qualifications • Relevant post-secondary education in Learning and Development, Education, Learning Technology, Information Technology, Business, Communications, or a related field; or equivalent relevant professional experience.
